Annual Meeting of the All Star II Family Conference

July 5, 2009

Tom Fenn and Julie Fenn called the meeting to order at 2:03 pm, July 5th, 2009 in the Sandpiper Room, Star Island, Rye NH.

Tom recognized new births in the AS2 family. Carter, Jackson, and Logan.

Julie & Tom are pleased and happy with Britt and Dave and are especially glad to see them doing the job.

Art Auction: Discussion: Proceeds from the Art Auction have typically gone to either AS2 Scholarships or the SIC Annual Fund. Over the last several years this has been the Ginny Levine Fund (GLF) primarily. It would be nice to do both. This year we are doing GLF via registration. Let’s consider diverting some to Annual Fund. GLF comes via $10 on registration; others contribute extra which is happening less, the rest is from the Art Auction.

Ron Cordes moved that “AS2 will take proceeds from the Art Auction, and move it to a special line item and in Nov we will look into how we’d disburse that income”. Ron withdrew the motion after some discussion. We agreed to discuss this again in November. One option is to move our funds to reimburse SIC scholarships, since registration has advertized as being used to cover scholarships.

Stimulus Package: Suzanne May spoke about an embarrassing situation that arose with AS2 board members with regards the use of the Stimulus Package by AS2 registrants. People who had already registered took advantage of the stimulus package. AS2 had 46 total requests, 32 for the 25% maximum. The intention, however, was to encourage people to register. AS2 is looking bad because of this.

Margy Young moved that “AS2 make a donation to Star Island Stimulus fund of $6,000, to be taken from the Ginny Levine Fund” This would leave us with about $6000 in GLF at financial year end. Passed - Unanimous.

Tom and Julie will discuss how this information is passed to the SIC. T&J will inform Vicki. It should happen before Thursday.

Treasurer's Report: Cathy Cordes moved to accept, Sally Russell Seconded. Passed

Election of Officers: Our esteemed president Ed Doty requested it be noted that a quorum of 25 or more directors was present. So be it – see list of board directors present listed at the end of this document..

Hilton Dier moved that we reelect officers (President - Ed Doty, Vice President - Katy Weeks, Treasurer – Tim Flint, Secretary – Rodney Lowe) to their current positions. Seconded by Cathy Cordes. Passed.

It was suggested that the president , Ed Doty and secretary, Rodney Lowe thank Peter Mosseau for his work when the corporation was founded. This was agreed.

Ron Cordes was nominated as Registrar by, Rodney Lowe. Passed.

Scholarship: MaryEllen said close to $5,000 had been disbursed to 9 families. Late application can be tricky so Mary Ellen asked that we encourage people to apply when they register. We had a heavy proportion of singletons this year. We have no way of knowing if they “double dipped” with the Stimulus Package.

New Chairs Report: Britt And David Cryer reported that it’s going swimmingly, it’s a living organism, we have not worked very hard today. We had few cancellations. 79 kids are attending which is on the low side for the kids program. A large band of new graduates decided to break with the kids program, and come as young adults.

Registrar’s Report: Allen Armstrong raised the issue that before we elect a new registrar a policy decision is required regarding registrar expenses.

Bernie May moved “that registrar gets the same reimbursement as other children’s program volunteers” Sally Seconded, Passed.

2010 Chairs: Voting for next years chairs happened in the time honored way and the Cryers were charged with getting their acceptance.

Meeting adjourned at 3:13pm.
